From Booking to Final Delivery
Your experience is organized into six clear stages so you know what to expect before, during, and after your session.

Reserve Through Square
Select an available date and time through the online booking system. A valid card and a non-refundable retainer equal to 50% of the total session price are required to reserve the appointment.
An inquiry, consultation, or unfinished checkout does not reserve a date.03✎
Complete Your Documents
After reserving your appointment, sign the photography agreement and complete the client questionnaire to confirm outfits, locations, backdrops, inspiration, image usage, and session scope.
The retainer reserves the appointment, but required documents must be completed before services are performed.04✦
Prepare for Your Session
Finalize wardrobe, props, grooming, inspiration, and arrival plans. Arrive five to ten minutes early and be ready to begin at the scheduled start time.
Preparation and outfit changes count toward reserved session time.05◎
Enjoy a Guided Photoshoot
PhotosByIvan LLC provides professional lighting, posing guidance, expression coaching, and creative direction throughout the session.
The photographer maintains final creative and technical control.06✓
Select and Receive Your Images
A private gallery containing photographer-selected unedited JPEG proofs is typically delivered within one to three business days. After selections are submitted, final editing begins and completed images are delivered through Pixieset.

RESERVATIONS & PAYMENTS

These policies protect the reserved time, preparation, creative labor, and resources committed to every client experience.
Non-Refundable Retainer
Required to reserve the appointment.
Hours’ Notice
Required for one qualifying reschedule.
Minute Grace Period
Provided after the scheduled start time.
Business-Day Editing
Begins after final selections are submitted.
A date and time are not reserved by an inquiry, consultation, verbal discussion, direct message, email, invoice, or unfinished checkout. The appointment is reserved only after the required non-refundable retainer equal to 50% of the total session price has been successfully paid.
Clients must select the correct service and package. Additional outfits, locations, backdrops, people, coverage time, concepts, or deliverables may require an upgraded package or additional fee.
A non-refundable retainer equal to 50% of the total session price is required to reserve the appointment. The retainer compensates PhotosByIvan LLC for holding availability, administrative preparation, planning, and declining other work for the same period.
The remaining balance is due on or before the scheduled session date unless a different deadline is stated in the invoice, proposal, booking confirmation, or signed agreement.
Sessions with an outstanding required balance may be delayed, suspended, or canceled until payment has been received.
If PhotosByIvan LLC must reschedule because of illness, emergency, or circumstances beyond its reasonable control, every reasonable effort will be made to arrange another date. If a mutually acceptable date cannot be arranged, payments made for the affected service will be refunded.
Online appointments require a valid payment card during Square checkout. Other approved methods may include debit card, credit card, chip, tap-to-pay, Apple Pay, Zelle, Cash App, or another method approved by PhotosByIvan LLC.
Payment availability may vary by service or invoice. A payment is not completed until it successfully clears.
After reserving a service, the client must sign the photography agreement and complete any required post-booking questionnaire before services are performed.
The questionnaire may request session type, intended image use, inspiration, backdrop colors, outfit count, locations, participants, event timeline, or other project details.
Undisclosed requests that expand the original scope may require an upgraded package, revised agreement, schedule adjustment, or additional payment.
The 50% retainer is non-refundable and secures the reserved date and time.
Clients may reschedule one time by providing at least 72 hours’ notice. All replacement dates are subject to availability.
A request submitted less than 72 hours before the scheduled start time may result in forfeiture of the retainer. A new retainer may be required to reserve another appointment.
Client cancellations do not automatically qualify for a refund of the retainer. Repeated changes, failure to choose an available replacement date, or failure to appear may require a new booking.
If PhotosByIvan LLC must move the appointment because of illness, emergency, or circumstances beyond its reasonable control, reasonable efforts will be made to arrange another date. If a mutually acceptable date cannot be arranged, payments made for the affected service will be refunded.
Clients should arrive five to ten minutes early. A five-minute grace period is provided after the scheduled start time.
After the grace period, a $50 late fee will be charged. The session still ends at the originally scheduled time.
If a client arrives thirty minutes or more late, the session may be rescheduled to prevent interference with other appointments, and a $50 rescheduling fee will apply.
Failure to appear without communication may be treated as a cancellation or no-show. Amounts paid may be forfeited and a new retainer may be required.
PROOFING & IMAGE DELIVERY
Your Images, From Selection to Completion
PhotosByIvan LLC uses a private online proofing and delivery workflow designed to keep image selection organized, convenient, and secure.
Curated Unedited JPEG Proof Gallery
A private gallery containing photographer-selected usable unedited JPEG proofs is typically delivered within one to three business days. Proofs are normally watermarked and download-disabled. Duplicate frames, test images, missed-focus files, accidental captures, and images below professional quality standards may be excluded.
Client Image Selections
From the curated proof gallery, the client selects the number of images included with the purchased package. Not every image captured will be shown or delivered. Editing turnaround begins only after all required selections and instructions are received.
Professional Editing
Selected images receive professional editing in the PhotosByIvan LLC artistic style. Basic retouching is included according to the package. Extensive retouching, body modification, object removal, composites, or advanced edits may require an added fee.
Final Pixieset Delivery
Completed images are delivered through a private Pixieset gallery. Clients are responsible for promptly downloading and securely backing up their final images before the gallery expires.

SESSION EXPECTATIONS
Preparing for a Smooth Experience
Session Time
Session time includes setup, breakdown, outfit changes, makeup, restroom breaks, location changes, backdrop changes, prop preparation, and client-caused delays. Late arrival does not extend the scheduled end time.
Outfits and Backdrops
Outfit, backdrop, scene, and location limits are determined by the purchased package. Additional changes must be approved and may require additional time or an upgraded service.
Props and Personal Items
Clients are responsible for providing, transporting, supervising, and removing personal props unless otherwise agreed. Props must be safe and approved before use.
Location Access
Clients are responsible for location restrictions, admission costs, parking, permits, and property permissions unless another arrangement is confirmed in writing.
Weather
Outdoor sessions may be postponed for heavy rain, lightning, high winds, extreme temperatures, or other conditions affecting safety or image quality. PhotosByIvan LLC makes the final decision. Weather-related retainers transfer to the approved new date without an added charge.
Client Conduct
PhotosByIvan LLC may end a session without refund if a client or guest displays threatening, abusive, illegal, unsafe, or inappropriate behavior. The photographer is not responsible for missed images caused by lack of cooperation, lateness, distraction, or guest interference.
Equipment Failure and Liability
In the unlikely event of equipment failure, data loss, illness, emergency, or circumstances beyond the photographer’s reasonable control, liability is limited to the amount paid. Reasonable efforts will be made to reschedule or provide an appropriate remedy.
Gallery Storage
Online galleries are maintained for a limited period. Clients must promptly download and back up purchased images. PhotosByIvan LLC is not responsible for replacing files after the gallery expires.
CREATIVE WORK & USAGE
Copyright, Editing and Image Use
Copyright Ownership
PhotosByIvan LLC retains full copyright ownership of all images created during the session unless rights are transferred through a separate written agreement.
Personal Print Release
Clients receive a personal print release allowing them to download, print, and share purchased images for personal use. Images may not be sold, entered into contests, or used commercially without written permission.
Editing Integrity
Clients agree not to apply filters, presets, AI edits, or additional editing to delivered images before posting them publicly. Images should remain in their delivered form.
Portfolio and Promotional Use
Unless otherwise agreed in writing before the session, the client grants PhotosByIvan LLC permission to use photographs for portfolios, website galleries, social media, advertising, competitions, studio samples, and other promotional purposes. Clients requesting privacy must notify PhotosByIvan LLC in writing before the session.

The successful 50% retainer reserves your appointment and makes the applicable booking terms effective. You must still sign the photography agreement and complete any required questionnaire before photography services are performed. Missing documents may delay planning or prevent the session from proceeding as scheduled.
No. PhotosByIvan LLC never delivers original RAW files. Clients receive a curated private gallery of usable unedited JPEG proofs for selection and final professionally edited images based on the purchased package.
The standard editing period begins after all required image selections and related instructions are submitted. It does not automatically begin on the photoshoot date.
A five-minute grace period is provided. After the grace period, a $50 late fee will be charged. The session still ends at the originally scheduled time. If you arrive thirty minutes or more late, the session may be rescheduled and a $50 rescheduling fee will apply.
Only when time, availability, and the purchased package allow it. Unapproved additions may require an upgraded package, additional time, a revised agreement, or another session.

PhotosByIvan LLC makes the final decision regarding weather-related postponements. If a session must be moved because of unsafe or unsuitable weather, the retainer transfers to the approved new date at no added charge.
Yes. Unless otherwise agreed in writing before the session, the contract permits PhotosByIvan LLC to use session images for promotional purposes. Clients requesting privacy must notify PhotosByIvan LLC in writing before the session.
Not for every standard service. Consultations or custom inquiries are recommended for weddings, corporate work, events, commercial usage, and projects with complex requirements.
IMPORTANT POLICY NOTICE
Signed Agreements and Service-Specific Terms
This webpage provides a general overview of the standard business process and policies of PhotosByIvan LLC. Weddings, events, corporate projects, commercial photography, travel assignments, and custom productions may include additional or different requirements.
The client’s signed photography agreement governs the service and contains the controlling contractual provisions. The booking confirmation, invoice, approved proposal, written correspondence, and questionnaire may provide additional project details but do not remove or contradict the signed agreement unless a written amendment is accepted by both parties.
PhotosByIvan LLC may update this webpage for future bookings. Changes do not retroactively alter a previously signed agreement unless both parties approve the change in writing.
